To provide efficient mobile notary services and accurate quoting, we collect only the necessary information to facilitate your appointment. When you use our website, booking forms, or communicate with us via SMS/email, we limit our data collection to:

  • Phone Number

  • Email Address

  • Service/Property Address

  • Job or File Number (if applicable for escrow/title routing)

  • Type of Document to be notarized

 

We do not collect or request sensitive Non-Public Personal Information (NPPI)—such as Social Security Numbers, full Driver's License numbers, or financial account numbers—through our website or digital intake forms.

2. Statutory Notarial Records (Physical Journal)

As a commissioned California Notary Public, we are mandated by state law to maintain a formal record of our notarial acts.

  • In strict compliance with California Government Code § 8206, physical notarial records—which include signatures and mandatory thumbprints for specific real property and power of attorney documents—are recorded in a tangible, sequential Notary Journal.

  • This journal is kept in a secure, locked area under the direct and exclusive control of the Notary Public at all times. This information is never digitized or stored on our website.

3. Data Storage and Security

Digital client data collected during the intake process is stored securely using our authorized operational platforms, including our website host (Wix) and secure email infrastructure. We implement standard security measures to protect your information from unauthorized access during the scheduling and preflight process.

4. Third-Party Sharing and Disclosure

Notary Drive, LLC explicitly prohibits the sale of client data. We will never sell, rent, or lease your personal information to third parties for marketing purposes.
We only share your information under the following strict conditions:

  • Essential Operational Processors: We utilize trusted third-party vendors to operate our business, such as Wix (website hosting and CRM), Square (payment processing), and Wave (accounting). These processors only receive the data necessary to perform their specific functions.

  • Legal Compliance: We will disclose journal entries or digital records only when legally compelled to do so by a lawful subpoena, a court order, or an authorized request from a peace officer or regulatory agency as mandated by California law.
